Beyond Excel and Email: Emmanuel University’s Smarter Approach to Budgeting

Emmanuel University's budgeting process was heavily centralized. Budget requests and changes were gathered through a combination of spreadsheets and email communications, with much of the budgeting responsibility falling on department managers and senior leadership.

Emmanuel replaced spreadsheet-based budgeting with Martus platform, resulting in more accurate, collaborative budgets and better reporting.

“The biggest thing for us has been being able to generate, modify, and customize reports, and then get that information to users in a timely manner."
— Matt McRee, CFO, Emmanuel University

About Emmanuel University

Emmanuel University is a private Christian liberal arts institution committed to academic excellence and spiritual development. Serving students through a faith-based educational experience, the university equips graduates with the knowledge, values, and leadership skills needed to make a meaningful impact in their communities and professions.

The Challenge

Emmanuel University's budgeting process was heavily centralized. Budget requests and changes were gathered through a combination of spreadsheets and email communications, with much of the budgeting responsibility falling on department managers and senior leadership, often creating a bottleneck.

This approach created several challenges:

  • Budget information was collected through multiple channels, making consolidation difficult.
  • Departmental participation was limited, reducing visibility into operational needs.
  • Information often arrived via email in different formats and at different times.
  • Maintaining accuracy across numerous spreadsheets was time-consuming.
  • Leadership lacked an efficient way to gather and manage budget input from across the institution.

While spreadsheets were useful for summarizing and presenting financial information, they were not well suited for collecting and managing budget requests from multiple stakeholders.

Why Martus

With Martus, budget owners and department leaders can now submit and manage budget information directly within a centralized platform. Rather than relying on disconnected spreadsheets and email threads, all budget requests flow into a single system that supports collaboration and accountability.

The Solution

Emmanuel University selected Martus to create a more collaborative and structured budgeting process.

By implementing Martus, Emmanuel University transformed budgeting from a centralized exercise into a collaborative, institution-wide process. The university uses Martus to:

  • Collect budget information directly from departments.
  • Centralize budget requests and financial data.
  • Improve collaboration between departments and leadership.
  • Streamline budget management workflows.
  • Generate customized reports for decision-makers.

The Result

Since implementing Martus, Emmanuel University has transformed its budgeting process from an annual, spreadsheet-driven exercise into a more collaborative and proactive approach. By reviewing budget line items on a monthly basisabou, the university has improved budget accuracy and gained access to more reliable financial information throughout the year. This increased visibility enables leadership to make more informed decisions, allocate resources effectively, and plan strategically for future investments.

By replacing disconnected spreadsheets and email chains with a centralized platform, the university established a single source of truth for budget data, reducing administrative effort while improving consistency and efficiency. Combined with Martus's flexible reporting capabilities, Emmanuel University can quickly generate and customize reports, giving stakeholders timely access to the financial insights needed to support confident decision-making.

Key Outcomes

Martus has transformed Emmanuel University’s budgeting from a centralized, spreadsheet-driven process into a collaborative financial planning framework. Martus also empowered departments across campus to play a more active role in the budgeting process, resulting in better-informed budget requests and stronger alignment between departmental needs and institutional priorities. Now Emmanuel University has:

  • Improved accuracy through ongoing monthly budgeting.
  • Greater collaboration from departments across campus.
  • More efficient collection and management of budget information.
  • Enhanced reporting and financial transparency.

By empowering departments, centralizing information, and providing flexible reporting tools, Martus has helped the university create a more accurate, efficient, and effective budgeting process that supports better decision-making throughout the year.
